Privacy Policy

This policy explains what Old Dominion Operations, LLC ("we," "us") collects when you use Gun Binder, how we protect it, and the choices you have. The short version: your collection is encrypted, we don’t sell or share your data for advertising, and you can export or delete it anytime.
1. What we collect
- Account information: your email address, password (stored only as a secure hash by our authentication provider), two-step login settings, plan, role, and account dates.
- Your binder: the firearms, suppressors, accessories, serial numbers, prices, notes, NFA submissions, photos, and documents you add, including files you choose to upload such as fingerprint (EFT) files and trust documents. This content is encrypted before it’s stored (see section 3).
- Billing information: payments are handled by Stripe. We never see or store your full card number. We receive limited details such as your plan, payment status, and billing history.
- Support messages: what you send us through the Support form or email.
- Technical information: basic logs such as IP address, browser type, and request times, used for security, troubleshooting, and preventing abuse.
We don’t use advertising trackers or sell data to data brokers. Gun Binder stores your login session and a few preferences (like your insurance export choices) in your browser’s local storage on your own device.
2. How we use it
To provide and secure the Service; to process payments; to send account emails (like confirmations, password resets, receipts, and plan reminders); to respond to support requests; to prevent fraud and abuse; and to meet legal obligations. We don’t use your binder content for marketing, and we don’t sell your personal information. We may calculate anonymous, combined statistics (for example, the total value of all collections in Gun Binder). These never identify you, and no individual binder’s value is stored or shown to staff.
3. Encryption and who can see your binder
Your binder content and files are encrypted with a key unique to your account, and those keys are themselves locked with a master key kept separately from the database. Our admin tools show account and billing information only, and can’t display guns, serial numbers, prices, photos, or forms.
Because Gun Binder lets you recover your binder after a forgotten password, our systems are able to decrypt your content to show it to you. We don’t access your content except: to show it to you; when you ask us to for support; to protect the security of the Service; or when required by valid legal process. If we receive a legal demand for your data, we’ll require proper legal process and, unless legally prohibited, will notify you before disclosing it.
Share links are different: a share snapshot is encrypted on your device with a key that lives only in the link itself, so we can’t read shared snapshots. They’re deleted when they expire or you turn them off.
4. Service providers
We use trusted providers to run Gun Binder, who process data only on our behalf:
- Supabase: account authentication and encrypted database storage
- Cloudflare: website hosting, our server, and encrypted file storage
- Stripe: payment processing
- Resend: sending account and support emails
- Microsoft: our support email inbox
- Anthropic: AI value estimates (Pro and Lifetime). For an estimate, we send only the item’s type, make, model, caliber, barrel, finish, condition, and accessory names. We never send serial numbers, notes, where you bought it, photos, forms, or your name or email.
5. When we share information
Only with the providers above, when you choose to share (exports and share links), to comply with law or valid legal process (see section 3), to protect rights and safety, or as part of a merger or sale of the business, in which case this policy’s protections would continue to apply. We don’t share your data with advertisers.
6. How long we keep it
We keep your information while your account is open. When you clear your binder or delete your account, the data is removed from our live systems right away and from backups within about 30 days. We may keep limited billing and tax records as required by law.
7. Your choices and rights
- Access and export: download your data anytime as PDF or CSV in Account → Exports.
- Correct: edit anything in your binder or account.
- Delete: clear your binder or delete your account in Account → Your data.
- Email: account and billing emails are part of the Service. We’ll only send marketing emails if you opt in, and you can unsubscribe anytime.
Depending on where you live (for example, Virginia, California, and other states with privacy laws), you may have additional rights to access, correct, delete, or obtain a copy of your personal data, and to appeal our decision on a request. Contact us at support@gunbinder.com to make a request. We won’t discriminate against you for using these rights.
8. Security
We use encryption in transit and at rest, per-account encryption keys, two-step login, access controls, and logging. No system is perfectly secure; if we learn of a breach affecting your information, we’ll notify you as required by law.
9. Children
Gun Binder isn’t intended for anyone under 18, and we don’t knowingly collect information from minors.
10. Changes
If we make material changes to this policy, we’ll notify you by email or in the app before they take effect.
